10. The Thai Shop Owner's Guide to Running Multiple Outlets from One Screen

This guide is for you if you have one outlet that's doing well and you're seriously thinking about a second. Or you already have two, and you've noticed the second is harder than the first in ways nobody warned you about.

A second outlet doesn't double your business. It doubles everything except your attention. The same decisions now have to be made twice, in two places, on two sets of numbers that never arrive at the same time. The thing that made your first outlet work, you being there in person, is the one thing you can't copy.

Managed badly, the pattern is predictable. The outlet you're at does well, and the other slowly slips. Stock piles up in the wrong place, staff charge different prices, and problems reach you a week after they happen. Many multi-outlet shops don't stall because of customer demand. They stall because the owner has run out of time.

This guide covers the 6 things that decide whether a second outlet makes you money or eats all your evenings: menu and pricing, stock, staff, reports, customers, and what happens when you open the next outlet.

One outlet runs on the owner. Two outlets run on a system.

With one shop, you are the system. You know what's running low because you see the shelves. You know how today is going because you're in the shop. You know which staff member made which sale because you were standing right there. Nothing needs writing down, and you don't need to.

The moment you have two outlets, all that knowledge has to live somewhere outside your head, or it simply disappears. That's the real shift, and most owners only realise it three months after opening, not before signing the lease on outlet two. The businesses that grow well aren't the ones with more energy. They're the ones that move that knowledge into a system before they need it.

An ordinary Tuesday at a shop with 3 outlets

You're at outlet one. At 9am you change the price of 2 items because your supplier raised prices. Every outlet sells at the new price before opening.

At 11am, outlet two has almost sold out of one item, while outlet three has plenty. You see it on your phone, create a stock transfer, and the goods move the same day instead of waiting a week for a purchase order.

In the afternoon, a customer who usually shops at outlet one walks into outlet three. The system recognises her Qashier Treats points, because the customer database is shared.

At closing, you compare all three outlets on one screen, by product and by hour. You find that outlet two's quiet period isn't quiet at all for one product category, so you adjust next week's staff rota. None of this needed a single manual step.

Menu and pricing: change it once, update every outlet

The first thing to break with two outlets is consistency. A supplier raises prices, you change it on one device, and three weeks later you find the other outlet has been selling at the old price all along. Multiply that by every promotion, every new product and every seasonal menu.

Qashier POS uses one product list for every outlet. Edit a product once and it updates everywhere: description, category and add-ons. If you really do want differences, such as a mall outlet with higher rent or an outlet with different customers, you set them at outlet level on purpose, instead of finding them by accident.

The real benefit isn't the time saved on data entry. It's that your profit doesn't leak through an outlet selling at a price you thought you'd already changed.

Stock: transfer between outlets instead of ordering twice

Two outlets that order separately always hold more stock than one business needs. One outlet runs out while the other has too much, and both order more. Your cash ends up sitting on the wrong shelves.

Because every sale deducts stock the moment the bill closes, Qashier POS shows real-time stock for each outlet and for the whole business. You see where stock actually is, not where it was at the last count. The Stock Request and Transfer feature lets one outlet request stock from another and move it, recording the movement on both sides, so your stock numbers stay accurate.

This changes how you order. The first question shifts from "How much do we need to buy?" to "Do we already have this at another outlet?" For shops with fresh or seasonal goods, this one change is often worth more than every other improvement in this guide.

Staff can work at any outlet, without shared logins

In a single shop, sharing one login is normal because everyone knows each other. With two outlets it becomes a real problem. A discount was given but nobody can say who gave it. A bill was voided and looks odd, but that shift has gone home. You end up managing by asking around instead of by records, and staff who did nothing wrong get questioned until they're fed up.

Every staff member gets their own Qashier POS login with the permissions you set. Every discount, void and refund carries the staff member's name and the time. People covering a shift at another outlet use the same account, so moving staff between outlets is easy and secure.

It's also how you find your best people. When every sale has a name on it, you see who closes sales, who upsells, and who quietly holds an outlet together. Most owners are surprised by at least one name on the list.

Compare outlets properly, not just by total sales

Total sales per outlet tell you very little. Two outlets with different sizes, rents, footfall and opening hours can't be compared on totals. If you do, you'll draw the wrong conclusion about which one is underperforming.

QashierHQ shows every outlet in one view and lets you compare them on numbers that really are comparable: sales per hour, average bill, product mix, staff performance and the share of repeat customers. An outlet with lower total sales but a higher average bill isn't weak. It's different, and it needs a different plan.

Reports are real-time and work on your phone, which quietly solves the biggest problem of running several outlets. Being on site is no longer the only way to know what's happening, so you can give your attention to the outlet that really needs it, not the one you happen to be standing in.

A regular at one outlet is a regular at every outlet

Most multi-outlet shops end up with separate customer bases without realising it. A customer known at one outlet is a stranger at another. That's a poor experience for the customer and a wasted asset for you.

Qashier Treats builds one customer database for the whole business. It's a scan-the-QR points programme with no app, no card and no questions at the counter, and it can be set so points earned at one outlet can be used at another.

That gives you information a single shop never has. You can see which customers visit more than one outlet, which outlet wins new customers who then become regulars elsewhere, and which outlet gets new customers who never come back. So Qashier Automated Marketing works across your whole customer base, not outlet by outlet. A promotion for quiet Wednesdays reaches the right people, whichever outlet they usually visit.

Open a new outlet without adding a new system

The expensive way to grow is when every new outlet comes with its own set-up: new devices to configure, a new stock file, a new set of staff accounts, new reports to reconcile with the others. Three outlets set up like this don't have three times the admin. It's far worse, because everything has to be kept in sync all the time.

Adding an outlet on Qashier means adding it to the account you already have. Your product list, prices, staff roles, loyalty programme and report structure already exist, so the new outlet picks them up straight away. Most merchants start selling on Qashier within a day, and a second or third outlet is quicker than the first, because the work was done once.

The real test of a system isn't whether it handles the business you have now. It's whether it handles the business you're about to have, without starting a new project.

Everything is connected, and that's the point

Every outlet shares one database instead of keeping its own. Everything runs smoothly, and you get a much clearer view of the whole business.

FAQ

How do I run several outlets on one system? Use one account that covers every outlet, not a separate system for each, so products, stock, staff and customer data are shared instead of duplicated. QashierHQ gives you one dashboard covering sales, stock, staff performance and customers across every outlet, on your phone. Each outlet still sells independently, but the business is managed as one.

Can I set different prices at each outlet? Yes. The product list is shared, but you can choose to set different prices at each outlet.

How do I transfer stock between outlets? The Stock Request and Transfer feature lets one outlet request stock from another and records the movement on both sides, so stock numbers stay accurate. Every sale updates stock the moment the bill closes, so you work from real-time data, not the last count. It often lowers total stock across the business, because outlets stop ordering what another outlet already has.

Can staff work across outlets with one account? Yes. Each staff member has their own login with the permissions you set, and it works at every outlet. Covering a shift elsewhere needs no new set-up. Every discount, void and refund is logged with the staff member's name and time, so there's no more shared login.

Can customers collect points at every outlet? Yes. Qashier Treats uses one customer database for the whole business, so points earned at one outlet can be used at another. Points are linked to the customer's phone number, so customers are identified by their number, with no app or membership card.

Do the shop or customers need to download an app to sign up? No. Qashier works in a web browser, and customers don't install anything to become Qashier Treats members, because they sign up as they pay.

Which payment methods does Qashier POS accept? Cash, QR scan, PromptPay/Dynamic QR, credit/debit cards* and payment links (Qashier Pay-By-Link). (*With supported devices.)
