How to Give Your Outlet Staff More Responsibility for Stock Without Losing Control

Most multi-outlet owners hit the same wall: the business grows beyond what one person can look after. But handing stock responsibility to outlet staff feels risky. What if they over-order? What if they ask for the wrong things? What if stock goes missing between outlets and nobody can trace it?

So the owner stays the person who decides everything. Every low-stock situation goes up to them. Every restock request goes through their phone. Every delivery waits for their confirmation. It works, the way anything works when one person carries it all. But it doesn't scale, and it doesn't have to be this way.

The question isn't whether to delegate. Delegating is the only way forward once you run more than one outlet. The question is how to build a system that lets your staff take real responsibility for stock at their outlet, while you keep the full picture and the final say on what actually moves.

That system exists, and here's how it works.

Delegating without a system is just hoping for the best

There's a difference between giving staff responsibility and giving them a clearly structured role. When delegation is informal, it depends on staff knowing what to report, remembering to report it, contacting the right person, and that person acting in time. Every one of those steps is a place where things can go wrong.

A stock request and transfer system changes this completely. Your staff don't just tell you when something's running low. They send a formal request through the system, with the product, quantity and the date they need it. The request goes to head office for review. Head office confirms what will be sent and when. The outlet receives the goods and marks them as received. Every step is recorded.

Staff get a real, structured role in managing stock at their outlet. You keep the full picture and complete control over what leaves the warehouse and where it goes. Nobody has to guess.

What structured delegation looks like in practice

Your manager at outlet 2 notices three items running low during her morning opening check. She doesn't post in the group chat. She opens Qashier POS, goes to Inventory Management and taps Stock Request. She uses Quick Add Low Stock, which automatically pulls every item at her outlet that's below the minimum you set. She reviews the list, adjusts quantities where needed, sets a delivery date and sends the request.

The request reaches your QashierHQ dashboard with a notification. Your operations manager reviews it that afternoon. She sees outlet 2's current stock, compares it with what's in the warehouse and decides what to confirm. She lowers the quantity for one item because the warehouse is running low on it too. She accepts the request, and outlet 2 sees the updated status straight away.

On delivery day, outlet 2's Qashier POS shows "Arriving today". When the goods arrive, your outlet manager marks them as received. If every quantity matches, one tap closes the request. If something's short, she records the discrepancy and enters the actual quantity received. Stock updates automatically, and head office sees the request marked "Completed".

Your outlet manager handles the whole process from her side. You don't need to get involved at all, and you have a complete record of everything that happened.

Not one step needs manual action from you.

Staff make requests. Only head office decides what gets sent.

This is the most important control. Your outlet staff can create stock requests and mark deliveries as received. But they can't approve their own requests, can't start a transfer, and can't move stock between outlets unless head office reviews and accepts the request first.

When an outlet sends a request, it sits as "Pending". Head office sees it, checks the quantities, and chooses to accept, adjust or reject it. If it's adjusted, the outlet sees the change before the delivery goes out. If it's rejected, head office can record the reason.

Only once head office has accepted the request can the outlet mark the goods as received. This two-step structure means no stock moves without your operations team's approval. Your staff have a real role, and head office has the final word.

Head office can also move stock proactively, without waiting for a request

Letting staff make requests is one part of the system. The other part is letting your operations team act on what they see across every outlet, whether or not an outlet has reported a shortage.

In QashierHQ, your operations manager has a live view of stock at every outlet. If she notices outlet 1 has too much of something while outlet 3 is running low, she can start a transfer directly from head office without waiting for outlet 3 to ask. She picks the source outlet, the destination, the products, the quantities and the delivery date. When stock needs to move right away, she can set the transfer to happen immediately, and stock on both sides updates at once.

So your operations team isn't just reacting. They can rebalance stock based on sales patterns, upcoming busy periods, or anything else they see in the data. Outlet staff request what they need. Head office manages the bigger picture.

Every request shows up instantly. Nothing gets lost in a group chat.

One of the most common problems with informal stock management is lost requests. An outlet manager sends a message. The operations manager sees it later and means to reply. Something else comes up. Three days pass, the outlet runs out, and nobody knows what happened to the original request.

Qashier POS removes this problem by making every request visible, trackable and clearly labelled. From the moment a request is sent, it has a live status that both the outlet and head office can see at any time: Pending, Request Accepted, Arriving Today, Overdue, Received or Completed.

If a request sits in Pending longer than expected, the outlet sees it. If a delivery is due today but hasn't been marked as received, head office sees it too. Every request has its own reference number, and every status change is logged automatically. No lost messages, no confusion about where a request stands.

Discrepancies are recorded on the spot, not discovered later

When a delivery reaches the outlet, your staff mark it as received directly on the Qashier POS. If every quantity matches what head office confirmed, it's done in one tap. Stock at the receiving outlet goes up by the amount transferred, and stock at the source goes down by the same amount. Both sides update together.

If a delivery is short or something doesn't match, your staff mark it as received with a discrepancy and enter the actual quantity. The system records what head office confirmed, what the outlet actually received, and the difference. That record is ready for your operations team to review, with no need for anyone to chase it up or piece the story together later.

This matters because gaps between what was sent and what was received are one of the most common sources of stock errors in multi-outlet businesses. Building the check into the receiving step, rather than relying on manual counts later, keeps your stock numbers accurate from the moment a delivery is confirmed.

The whole system builds accountability on both sides

The structure of Qashier Stock Request and Transfer is worth looking at from a team-management angle. Your outlet staff have a clear, formal process for asking for what they need. There's no confusion about how to send a request or who to send it to, and no excuse for not reporting low stock, because the process is built into the Qashier POS they use every day.

Head office has a clear process too: review requests, confirm what can be sent, and deliver on the agreed date. If a request is overdue on head office's side, it shows on the dashboard. If a delivery is overdue on the outlet's side, that shows too. The system makes accountability visible without you having to police it.

For growing businesses in Thailand managing staff across several locations, this built-in accountability is one of the most practical advantages a structured system has over informal coordination.

FAQ

How does Qashier Stock Request and Transfer help me delegate stock to outlet staff? It gives outlet staff a formal, structured way to request stock straight from the device. They flag items running low, enter quantities and send the request to head office for review. Head office approves, adjusts or rejects every request before any stock moves. Staff are responsible for identifying what's needed. Head office keeps control of what's actually sent.

Can outlet staff approve their own stock requests or start transfers between outlets? No. Stock requests created by outlet staff go straight to head office for review. Only head office users can accept or reject requests and confirm transfer quantities. Outlet staff can send requests and mark deliveries as received, but can't move stock without head office approval.

What stops staff from requesting more stock than they really need? Head office reviews every request before accepting it. Head office users see the outlet's current stock next to the requested quantity, and can adjust the amount up or down based on what's available and sensible. The system also stops head office from confirming more than the source outlet or warehouse actually has at that moment.

How does head office know a stock request needs attention? Pending requests appear in the QashierHQ dashboard with a notification badge. The badge shows only requests waiting for head office, so your operations team sees at once what needs a response, without scrolling past completed or cancelled requests.

What happens if a delivery arrives with less than was confirmed? Staff mark it as received with a discrepancy and enter the actual quantity received. The system updates stock to the actual amount and records the difference between what was confirmed and what arrived. Your operations team gets a clear discrepancy record with no separate reconciliation process.

Can head office send stock to an outlet without the outlet asking? Yes. In QashierHQ, your operations team can start a transfer to any active outlet at any time. It's useful for moving extra stock proactively or getting stock in place before an expected busy period, without waiting for a formal request.

Do I need a separate app to manage stock requests and transfers across outlets? No. Everything works through the Qashier POS at each outlet and the QashierHQ dashboard in a web browser. No extra app is needed for outlet staff to send requests, for head office to review and approve them, or for either side to track transfer status.

Which Qashier software plans include Stock Request and Transfer? It's available on the Essential and Growth software plans with Chain Store Management enabled. If you're already on one of these plans, the feature is ready to use from your QashierHQ settings.
