Plenty of shops are already running a POS, and we suspect a fair number of them do not know that the terminal has to be registered with the Revenue Department — so that the shop can issue valid tax invoices to its customers.
For a shop that is properly incorporated and charges VAT on its goods or services, registering the POS in use at the shop allows it to issue tax invoices legally, which makes life easier for its customers.
A shop that is not yet incorporated or not yet charging VAT can register its POS once the company registration has been completed.
Documents required to apply for POS registration

- Notification of the preparation and storage of electronic records, form Phor.Or.11
- Details of the type of cash register
- A form setting out the specifications of the cash register in use, or a flowchart of the POS system
- A plan showing where the cash register is positioned: photograph the equipment in the shop
- How the cash register is connected to other equipment
- An example of the network connections
- Details of the security arrangements
- A sample abbreviated tax invoice and a sample sales report produced by the terminal
Where to file the POS registration application
File the documents with the Revenue Department office for the area where the business is established, or file online through the Revenue Department website. The Revenue Department takes 30 to 45 days to consider the application, and while you are waiting it is best to avoid using the POS, to stay on the right side of the law.
Once approved, the Revenue Department will issue a device code. Enter that code on the tax invoices or reports in the form the Revenue Department prescribes; one code covers one terminal only. After that, contact the Revenue Department again so that an officer can come and affix the sticker to the POS — the final step before you can use the terminal to issue legally valid tax invoices to your customers.
Using a POS that is registered with the Revenue Department does more than let you issue proper tax invoices: it also makes the business more credible, because the Revenue Department holds all of the shop's sales and revenue data from the POS.
